Quattro’s Business Continuity Plan for COVID-19

In the light of the Corona virus situation, we obviously want to ensure that we can continue to provide a seamless service to our clients, and in particular to ensure that pensioners continue to get paid and that the most urgent of member cases are dealt with as quickly as possible. To prepare for this eventuality and to reassure trustees/clients:

  • our cyber security and access systems are already set up, and have been for some time, to enable key staff to access our server and systems remotely and securely. This includes all of our Directors and Scheme Actuaries and senior staff
  • clients already have (or will be given) mobile phone numbers of their Scheme Actuary
  • in anticipation of how the situation may develop, last week we bought extra laptops and have set them up with remote and secure access to our server
  • as a result, we are immediately able to support 75% of our staff working from home. Where necessary we will get laptops to staff who need to stay at home or who self-isolate
  • for the above, we will be giving priority to staff involved with paying pensioners, imminent retirements, and death cases – i.e. payroll and senior admin staff, in our ongoing and PPF teams. These staff members, if not already set up for remote working, will be taking laptops home to test the remote access in the next few days
  • our treasury team is looking into all schemes’ immediate cashflow needs as a matter of urgency, and will discuss with clients if there are any material issues
  • in terms of statutory deadlines and accounts: as a result of the action we have taken above, we are not expecting any problems with our ability to meet statutory deadlines but if they slip due to genuine resource issues we would expect that the Regulator would respond sensibly
  • for all client meetings in the next two weeks, we will discuss with each client whether they are happy for them to be conducted by conference call or video arrangements, or postponed, and we will then keep this situation under rolling review

Please be assured that we are keeping calm, following the guidelines, and fully expect business to continue as usual, despite planning for the worst.
